Job description
1. Job Overview
INVICTA School is seeking an organised, responsible and hands-on Admin Executive to manage the school’s internal administrative operations and provide day-to-day support to the Academic and School Leadership teams. The role will ensure smooth coordination of documentation, records, admissions, materials, examinations, events and other essential school functions.
2. Key Responsibilities & Duties
School Administration & Documentation: Maintain school records, registers, files, correspondence, student/staff documentation and other administrative records. Ensure documents are updated, organised and readily available.
Academic Team Support: Provide administrative and operational support to the Academic Team, including schedules, documents, meeting arrangements, academic materials and other coordination requirements.
Front Office & Admissions: Manage front office activities, visitor coordination, calls and enquiries. Support the admissions process, maintain admission records and coordinate with parents and the admissions team.
Records & MIS: Maintain student, staff, attendance, leave, communication and other school records. Ensure timely updating of MIS, trackers and reports.
Procurement & Materials: Coordinate approved procurement, maintain material and inventory records, receive and issue school supplies and ensure availability of required materials for classrooms and departments.
School Readiness: Ensure classrooms, offices and common areas are operationally ready each day. Coordinate with the concerned teams for requirements, pending items and timely closure.
Events & Activities: Coordinate administrative and logistical requirements for school events, parent meetings, celebrations, orientations and other activities.
Examination Coordination: Provide administrative support to the Examination Department, including documentation, schedules, materials, arrangements and record keeping.
Infirmary & Pantry Coordination: Monitor the day-to-day administrative requirements of the infirmary and pantry, maintain necessary records and coordinate replenishment of approved supplies.
3. Required Qualifications & Skills
Education: Graduate in any discipline. Qualification in Administration, Management or a related field is preferred.
Experience: 2–4 years of relevant experience in school administration, office administration or institutional operations. Experience in a K-12 school will be preferred.
Technical Skills: Good working knowledge of MS Office, Google Workspace, Excel/Google Sheets and basic MIS/reporting systems.
Communication: Good verbal and written communication in English and Telugu.
Core Competencies: Strong organisational skills, attention to detail, coordination, follow-up, documentation, time management and problem-solving. The candidate should be dependable, responsive and comfortable handling multiple responsibilities simultaneously.
4. Job Scope
The Admin Executive will be responsible for the smooth functioning of the school’s internal administrative operations, supporting the Academic Team and School Leadership while coordinating front office, admissions, documentation, records, procurement, materials, examinations, events, infirmary and pantry requirements.
The role requires a hands-on and well-organised individual who can independently manage routine administrative work, coordinate with different departments and ensure that day-to-day requirements are completed on time.
